This policy explains how Polarity Electrics, trading as Polarity Lux ("we", "us"), collects and uses personal data when you enquire about or book a lux testing survey. We are the data controller for the information you provide.
Who we are
Polarity Lux is a trading name of Polarity Electrics, an NICEIC-registered provider of illuminance (lux) compliance surveys across London and the South East. You can contact us about privacy at info@polarityelectrics.com.
What we collect
- Enquiry and booking details you submit through our forms: your name, email address, optional phone number, the service or sector you are interested in, and any information you include about your site.
- Communications you send us by email or through our booking provider.
- Limited technical data (such as IP address) processed by our hosting and form providers for security and spam prevention.
How we use it
- To respond to your enquiry and provide a quote.
- To arrange, carry out and report on a lux survey.
- To keep records of work carried out and comply with our legal and insurance obligations.
Our lawful bases are taking steps at your request before entering a contract and performing a contract when we quote for or provide a survey; compliance with legal obligations for accounting and safety records; and our legitimate interests in responding to business enquiries, administering services, preventing fraud and securing the website. Optional Setmore cookies rely on consent, which you can withdraw at any time through “Cookie settings”.
Who processes your data
Enquiry submissions are handled by Netlify Forms (our website host). Live bookings are handled by Setmore, but its embedded calendar does not load until you accept optional cookies. These providers process data on our behalf. Where a provider processes data outside the UK, we require an approved transfer safeguard such as UK adequacy regulations or the UK International Data Transfer Agreement/addendum. We do not sell personal data.
How long we keep it
Unconverted enquiries are normally deleted after 24 months. Customer, invoice and completed survey records are normally retained for seven years after the relevant financial year or longer where a live dispute, insurance requirement or legal duty applies. Spam and failed submissions may be deleted sooner. We review records and securely delete or anonymise them when no longer required.
Your rights
Depending on the circumstances, you may have rights to access, correct, erase or restrict your personal data, to object to processing, to data portability and to withdraw consent. Email info@polarityelectrics.com. We may need to verify your identity and normally respond within one month.
Data protection complaints
You can make a data protection complaint using the email address above. Please identify the information or activity concerned and the outcome you want. We acknowledge complaints within 30 days, investigate without undue delay, keep you informed and explain the outcome. If you remain dissatisfied, or prefer to contact the regulator directly, you can complain to the Information Commissioner's Office at ico.org.uk.
